About the Role
As Project Manager Lead, you will oversee diverse projects, including Rolling Aid Events, donation drives, and crisis relief efforts. You will develop and execute strategic plans, coordinate teams, and ensure successful delivery while fostering an inclusive and engaging volunteer network. You’ll play a critical role in connecting resources, volunteers, and stakeholders, ensuring that each project meets its objectives and aligns with our mission. You will report directly to the Foundation Director, collaborating with key team members such as the Marketing & Communications lead, Warehouse Lead, and others to execute projects that make a tangible impact.
Key Responsibilities
Plan, execute, and evaluate projects like Rolling Aid Events, crisis relief missions, and donation drives.
Create comprehensive project plans, including needs assessments, budgets, timelines, and deliverables.
Act as the primary contact for external stakeholders, including COA location managers, sponsors, and partners.
Monitor and report on project outcomes, leveraging data to improve future initiatives.
Optimize project processes through experimentation and innovative approaches.
Identify gaps in resources, services, or support and propose creative solutions or new project ideas in consultation with the foundation director.
Develop and implement a robust volunteer strategy to recruit, engage, and retain a diverse volunteer network.
Match volunteers’ skills and talents with relevant roles, ensuring meaningful contributions.
Coordinate volunteer communications, including updates, briefings, and feedback sessions.
Create formal and informal recognition programs to celebrate volunteer contributions.
Design and implement processes to onboard and retain volunteers effectively, balancing automation with personalized approaches where appropriate.
Streamline volunteer management processes to enhance efficiency and experience.
Build and maintain relationships with internal teams and external partners.
Communicate effectively with volunteers, ensuring clarity in roles and responsibilities while fostering a sense of community and shared purpose.
Act as a point of contact during events, ensuring smooth coordination and collaborative problem-solving.
Oversee logistics planning for events, including inventory management, transportation, and on-site coordination.
Respond to urgent crises by mobilizing volunteers, arranging relief supplies, and ensuring timely delivery.
Document and analyze learnings from each crisis to continuously improve response strategies.
Maintain accurate records of projects, volunteer activities, and outcomes, including volunteer talents and engagement levels, to optimize future planning and deployment.
Provide regular updates and detailed insights to the management team, including cost analyses, forecasts, and resource needs for projects such as donation drives and multi-location events.
Continuously update and refine processes for volunteers, events, and collaborations based on learnings and experimental improvements, while documenting best practices and lessons learned for future reference.

Job requirements
- At least 5 years of experience in project or event management, preferably in dynamic or humanitarian settings.
Proven experience in volunteer management and/or leading teams in complex environments.
Experience working with refugees or in crisis situations is a strong advantage.
Strong organizational and communication skills, with an entrepreneurial mindset.
Ability to work in a fast-paced, multicultural environment.
Proficiency in project management tools (e.g., Trello) and systems.
Fluency in Dutch and English; additional languages (e.g., Arabic, Tigrinya) are a plus.
A valid driver’s license and ability to drive a manual van.

What we offer
- An employment contract with a minimum of 32 hours per week.
Offering a salary range in line with NGO standards of (€3,000 - €4,000 gross per month) with an additional 8% holiday allowance.
